How it works

One job, from the first request to the paid invoice

Six short videos follow one shop through a job. Each one starts with a headache we heard from shop owners and shows what Opsify does about it. Each runs about a minute and needs no sound.

  1. 1 New customers
  2. 2 Estimates
  3. 3 Work orders
  4. 4 Customer updates
  5. 5 Invoices
  6. 6 QuickBooks

1 of 6 · New customers

Hands full and the phone won't stop ringing?

A new customer asks for an estimate from your website on their phone. Their name, their number, and what they need are waiting on your dashboard, so the callback starts with the facts. The call is still yours to make.

  • A request form on your own website
  • The customer saved with their contact details
  • The job and the timing in their own words

2 of 6 · Estimates

Every boat is different. So is every estimate.

The customer's notes and photos come in with the request. You start from your own template for the lines you write on every job, then type the one-off yourself. Nothing goes out until you press Send, and the customer approves from their phone.

  • Notes and photos attached to the estimate
  • Templates for the work you repeat
  • Approval from the customer's phone

3 of 6 · Work orders

Chasing your crew for hours and photos?

Your tech opens the work order on the boat and logs hours, a photo, and a note against the task he just finished. You see all of it on the job from the office, and nobody texts you a number on Friday.

  • A checklist the crew works from
  • Hours logged against each task
  • Photos and notes kept on the job

4 of 6 · Customer updates

“So when's it going to be done?”

A part is on backorder, so the job moves to On Hold. Opsify asks whether the customer should hear about it, you add a line in your own words, and they get a text. It only goes out when you say so.

  • A prompt when a job changes status
  • Your own note in the message
  • A text to the customer from your shop

5 of 6 · Invoices

Rebuilding the job from memory to bill it?

Everything the crew logged is already on the work order. One click turns the finished job into an invoice with every service and part carried over. Look it over, fix what you want, and send it while the job is still fresh.

  • Labor and parts totaled on the work order
  • An invoice made from the finished job
  • Every line open for you to change

6 of 6 · QuickBooks

Typing every invoice in twice?

Send the invoice in Opsify and it shows up in QuickBooks Online for the same customer and amount. When the payment is recorded in QuickBooks, Opsify marks the invoice paid.

  • Invoices sent on to QuickBooks Online
  • Payments read back from QuickBooks
  • One list that shows what is paid
